Benefits of Investing in a Maintenance Plan for Your Multifunction Printer

We all know that sometimes things go wrong. Plans change, calls drop, milk spills, and sometimes, copiers break. When copiers/printers malfunction, this can cause a huge halt in business processes and can leave your office struggling to function.

How Do I Request a Service?

For customers with a maintenance plan, requesting a service call is as easy as visiting our website and clicking on the Request a Service page. Enter some basic information in order for us to find your device records, and then give a brief description of the problems you are experiencing.  

After pressing submit, a member of our staff will contact you shortly in order to collect any additional data and schedule a time for a service technician to visit. 

With a maintenance plan, all service issues are fixed free of charge, and to no additional cost to the customer. This way, there’s nothing to worry about. 

Service Costs Without a Maintenance Plan 

When it comes to requesting service for customers without a maintenance plan, we still ask that you complete the service request form. However, pricing is calculated a little differently.  

If a customer has an issue that requires service, and they do not have a standing maintenance agreement with us, then the customer will have to schedule a billable call for service.  

We have a flat rate for service calls that are not under contract: 

$125/hr 

$60 trip fee 

Plus the cost of parts as required 

Service calls are typically related to hardware malfunctions, but can also address items such as network issues, setting up new computers to print and/or scan, or making configuration changes to the machine-like adding new users.   

Should I Invest in a Maintenance Plan? 

We highly recommend investing in a maintenance plan when leasing or purchasing your device from us. This way there’s nothing for you to worry about when something goes wrong with your device, and you know you’re getting the best service possible.  

Maintenance plans include all parts and labor for machine-related service, however, some network analyst activity such as reestablishing an address book, installing print drivers on new computers, or reestablishing a connection to the multifunction device as a result of internet/network changes at the customer’s site, are considered billable. For customers that have a maintenance agreement, such network services are provided at a 50% discounted rate to the flat rates discussed above. 

Maintenance plan costs vary based on the equipment chosen plus how many impressions are included in the service plan. The cost to pay for time and materials without a contract will easily add up to a higher expense over time, and is impossible to budget for in the case of a copier/printer malfunction. 

For example, a small office machine that needs to replace a single motherboard for this type of technology can cost upwards of $500. For larger office machines, the cost can become upwards of $1000. We find that a maintenance plan is a great insurance policy for protecting your investment and eliminating unforeseen expenses.
